How to use the PTO Accrual Calculator

  1. Enter the opening balance and choose the accrual method stated in the employer policy.
  2. Enter completed periods or eligible hours together with the matching accrual value.
  3. Subtract used time, add any manual adjustment and optionally apply a balance cap.

Three accrual methods

Per-period mode multiplies hours earned per pay period by completed periods. Per-hour mode multiplies the entered rate by eligible hours worked. Annual-allowance mode earns the stated annual hours in proportion to completed periods over periods per year.

remaining PTO = capped(opening balance + earned PTO + adjustment) − used PTO

The cap loss row shows how many otherwise available hours were removed by the entered cap. With no cap, that row stays zero. A manual adjustment can be positive or negative to represent a correction explicitly supplied by payroll.

Match the policy’s timing

Policies differ on whether time accrues at the start or end of a period, during leave, through a waiting period or only on eligible worked hours. Enter activity that has actually completed under the policy. Do not count a current incomplete pay period unless the plan credits it.

Annual allowance prorated by periods is not the same as receiving the entire allowance on the first day of the year. Select the mode that matches the written policy. If the employer grants time up front, put the granted amount in opening balance rather than fabricating completed periods.

Caps, carryover and negative balances

A cap can stop additional accrual once a balance reaches a limit. Some policies resume accrual after time is used; others apply separate carryover limits at a year boundary. This version applies one cap at the point shown in the formula and does not model dates or forfeiture events.

Negative remaining PTO is intentionally visible. It may reflect approved borrowing, future planned leave or a mistaken assumption. The tool does not decide whether a negative balance is permitted or what happens at termination.

Reconcile against the employer ledger

Start from the balance on the last authoritative statement. Use the same unit throughout; this page reports hours and does not convert days using an assumed workday length. Check whether paid holidays, leave hours and overtime hours count as eligible activity before entering them.

Payroll or the plan administrator controls the official balance. The calculator is most useful for reproducing that ledger with visible assumptions and exploring how future completed periods or planned usage would change it.

With your numbers

  1. Earned PTO = 46.2 hours using the period policy entered
  2. Balance before use = 54.2 hours; cap removed 0 hours
  3. Remaining PTO = 54.2 − 24 = 30.2 hours

Common questions about the PTO Accrual Calculator

Why can remaining PTO be negative?
Some policies allow borrowing against future accrual, while a negative result can also describe planned use. The calculator shows the balance instead of flooring it to zero.
When is the balance cap applied?
The cap limits opening balance plus earned time and adjustments before entered usage is subtracted. Confirm that ordering against the actual policy.
Does the calculator handle carryover or waiting periods?
Not automatically. Reflect an approved carryover in opening balance and start completed periods or eligible hours after any waiting rule.
Should accrual be rounded each pay period?
Only if the employer policy says so. This calculator keeps full precision until display, so a policy that rounds every period may produce a different balance.
