How to use the Time Card Calculator
- Add each shift with its clock-in, clock-out and unpaid break minutes.
- Mark Ends next day only when a shift crosses midnight.
- Optionally enter an hourly rate and weekly overtime rule to estimate gross pay.
From clock times to paid hours
Each shift starts with elapsed time between the two clock values. An overnight row adds one day explicitly. Unpaid break minutes are then removed, and the paid minutes from every valid row are summed.
paid shift time = clock-out − clock-in − unpaid break
The overnight checkbox matters because the calculator never guesses that an earlier clock-out means the next day. A same-day row with an end before its start is treated as invalid instead of silently creating a long shift.
Optional weekly overtime estimate
With overtime off, every paid hour is valued at the regular rate. Weekly mode separates hours above the entered threshold and multiplies those hours by the entered premium. It does not inspect individual days or determine whether the worker is legally eligible.
For covered non-exempt employees in the United States, federal overtime is generally based on a workweek and applies after 40 hours at not less than one and one-half times the regular rate. Read the US Department of Labor overtime guidance for the federal context. State law, contracts and exemptions may differ, so the threshold and multiplier stay editable.
Enter breaks and shifts consistently
Breaks are entered in minutes and treated as entirely unpaid. Do not enter a paid rest break. If a shift contains multiple unpaid breaks, add their minutes together. Separate rows can represent split shifts, but the calculator does not add premiums or minimum-call payments.
Use one workweek for the weekly threshold. Combining two weeks can overstate overtime because each week normally stands alone under a weekly rule. A payroll period containing two weeks should be calculated as two scenarios and then added outside the tool.
Reconciling a time record
First compare the total unpaid break time with the schedule. Then inspect the paid total before adding any pay assumptions. If an hourly rate is entered, gross pay remains before withholding and deductions. The result does not apply time-clock rounding, leave hours, holiday premiums or changes to the regular rate caused by other compensation.
Preserve the employer time record as the source of truth. This calculator is best used to find a missing break, an overnight flag or a shift entered on the wrong day before asking payroll to review a discrepancy.
With your numbers
- Paid time across 5 shifts = 42 hours after 2.5 unpaid break hours
- Regular hours = 40; overtime hours = 2
- Estimated gross pay = $22.00 × regular hours plus entered overtime multiplier = $946.00
Quick reference
Hours are exact from entered shifts; gross pay is an estimate using the overtime rule you select.
| Job | Total paid hours |
|---|---|
| Five shifts totalling 42 paid hours | 42 |
| One eight-hour shift without a break | 8 |
| One overnight shift less 30 minutes | 7.5 |
| Four 10-hour shifts with weekly overtime | 40 |
| Five seven-hour shifts | 35 |
| Two twelve-hour shifts | 24 |
| Three overnight shifts | 24 |
| Six short shifts with a 35-hour threshold | 36 |
Common questions about the Time Card Calculator
- How are overnight shifts calculated?
- When Ends next day is checked, 24 hours is added before subtracting the start time. Without that explicit flag, an end time earlier than the start time is invalid.
- Does the calculator round clock times?
- No. It uses the entered minutes exactly and subtracts the entered unpaid break. Apply an employer rounding policy before entering times if one governs the record.
- Does this support daily overtime?
- No. The optional pay estimate supports one weekly threshold only. Daily overtime, split shifts and meal penalties need jurisdiction-specific rules.
- Why is hourly rate optional?
- The time total is useful on its own for checking a time card. Leaving rate blank avoids collecting a pay value when only hours are needed.
