How to use the Mileage Reimbursement Calculator
- List your trips with the distance of each, in miles or kilometres depending on the units you use.
- Enter the reimbursement rate per mile or kilometre you are paid.
- Optionally add your car's fuel economy and the fuel price, to see what the driving really cost you.
The formulas
reimbursement = total distance × ratefuel cost = total distance × consumption × fuel pricenet = reimbursement − (fuel cost + other running costs)
The total distance is the sum of the trips. The rate is kept exactly as entered, including any fraction of a cent.
Standard rate or actual cost
A mileage rate is a shortcut: one figure per mile meant to cover all the costs of a typical car. Tax rules often let you choose between it and your actual costs. The comparison here shows fuel, plus any other running costs you add per mile or kilometre, against the claim, so you can see how your own car compares with the typical one the rate assumes.
With your numbers
- 1,240 × $0.67 = $830.80

Common questions about the Mileage Reimbursement Calculator
- What rate should I use?
- The one your employer pays, or the tax authority's rate for the year and the purpose of the trips. In the US the IRS sets separate standard rates for business, medical and charitable driving and changes them every year; other countries set their own. This page stores no rate, because a stored one would be wrong within a year.
- Does the reimbursement cover my costs?
- That depends on your car. A standard rate is set to cover fuel, maintenance, insurance and depreciation for a typical vehicle. The page compares the claim with the fuel your car actually burns: at 0.67 a mile, 1,240 miles in a 31 mpg car costs about 140 in fuel against an 830.80 reimbursement, and in a 14 mpg car about 310.
- Why are the trips added before the rate?
- So that no single trip is rounded on its own. Adding the distances first and applying the rate once gives the exact total a claim should show.
- Can I claim business and medical miles together?
- Not at one rate, if they are paid at different rates. Work each out separately with its own rate.
